Program and Role Description:

This opportunity is available with The Career Foundation’s A Women’s Work (AWW) program, operated in partnership with A Women’s Work Support Centre.

The AWW program aims to address the pressing labour shortage in Ontario’s trades industry while empowering women to excel in the construction industry.

Eligible female participants of the program receive foundational training and a paid job placement in addition to gender-focused training, mentorship, industry guidance, and other services to help them find and retain work in the construction industry.

The Skilled Trades Intake & Administration Specialist is an important team member. Key responsibilities include completing and documenting the intake process with eligible program participants, providing and coordinating pre-employment training and job coaching, facilitating wraparound support services through community referrals, and providing job retention and follow-up support to program participants and employers, among other important duties. You would be responsible for achieving individual targets assigned to you.

Position Type:

Full-time (37.5 hours per week) leave-based contract until January 12, 2026

Base Location and Travel Requirements:

  • This opportunity requires on-site work from The Career Foundation’s Toronto office located at Yonge Street & St. Clair Ave. E., as well as other offices, partner sites, and stakeholder locations as needed. The position is currently structured under a hybrid-remote work schedule that permits periodic work-from-home days based on program operational needs and performance.
  • The successful candidate must be willing to work on-site from the office on a regular schedule and possess a valid Ontario G driver’s licence and a reliable vehicle to perform essential job functions that require frequent local travel. The hybrid-remote schedule is contingent on operational needs and performance, as well as possessing a private work-from-home space with reliable, high-speed internet. A company laptop, cell phone, and other equipment will be provided.

Program Coordinator

Responsibilities include:

Intake, Job Coaching, and Case Management

  • Conducts intakes and completes individualized needs assessments with program participants.
  • Determines eligibility for financial supports, administers eligible supports for program participants, and ensures proper documentation is on file to support expenditures.
  • Enters and maintains thorough written documentation in online data reporting systems and program trackers, ensuring that participant files are up-to-date and ready for file audits.  
  • Assesses and facilitates wraparound and intervention resources required to help participants address and overcome barriers that may prevent them from achieving successful employment outcomes
  • Develops action plans for participants based upon their individual needs assessments.
  • Provides effective job search readiness and coaching support services on relevant topics, such as job search strategies, interview preparation, effective résumés and other areas to help program participants achieve successful outcomes.
  • Facilitates in-person and virtual information sessions and workshops on a variety of relevant topics.
  • Conducts follow-ups with participants as needed to review goals, address barriers, and help them stay on track to achieving their employment goals.
  • Provides program participants with referrals to specialized community services as needed.
  • Utilizes digital systems and technologies provided by The Career Foundation to further support participants with training and employment goals.
  • Monitors and tracks operational performance of caseload ensuring participant success rates are in line with the program targets.
  • Performs other relevant duties as assigned.

Job Development, Placement, and Retention Support

  • Conducts job search activities with participants, including cold calling employers and other strategies to support them with achieving successful outcomes.
  • Assists participants to acquire a clear understanding of industry perspectives for the positions to which they are applying.
  • Conducts outreach to develop relationships with employers in the construction industry to promote the AWW program and create job placement opportunities for participants.
  • Conducts onsite visits at employer locations and training partner sites.
  • Negotiates and administers placement and other agreements with employers when applicable.
  • Conducts appropriate follow-ups and interventions with employers when needed to ensure that all expectations are met.
  • Coaches participants during job placements to help ensure they retain their positions.
  • Mediates on-the-job conflict between employers and participants as needed.
  • Maintains accurate and up-to-date records of all job development activities in online systems.
  • Collaborates with fellow team members on topics such as job development and employment retention strategies that help lead program participants to successful outcomes.
  • Performs other relevant duties as assigned.

Qualifications/ Skills Required:

  • Knowledge, experience, and/or interest in the construction industry is essential for this opportunity.
  • A post-secondary degree in human services, business, or a related field relevant to the position is highly preferred, or an equivalent combination of education and experience is required.
  • A minimum of 2 years of related experience in job coaching, job development, vocational counselling, facilitation, or experience that is directly transferable to the responsibilities of the position is required.
  • Must possess a valid Ontario G driver’s licence and vehicle to perform essential job functions that require frequent local travel within the communities served.
  • Highly organized with the ability to efficiently manage multiple tasks with prioritization, attention to detail, and a systematic approach.
  • Previous experience with community outreach, developing relationships with employers, and/or familiarity with government-funded employment programming is considered an asset.
  • Proven track record in a results-focused environment.
  • Exceptional relationship-building skills with a proven ability to develop rapport with people.
  • Excellent organizational and time management skills with flexibility to multitask to handle evolving priorities.
  • Excellent English written and verbal communication skills, effective interpersonal skills, and a positive attitude. Fluency in a second language is considered an asset.
  • Proven problem-solving, adaptability, and networking skills to overcome challenges.
  • A professional and courteous approach to client service with a high level of respect for the diversity of the people served.
  • Exceptional customer service skills and ability to uphold the organization’s core values.
  • Technically savvy with proven proficiency in Office 365 and Adobe suite of products.
  • Must possess aptitude and willingness to learn and work with new online systems and technologies.
  • High ethics and confidentiality standards with proven experience maintaining sensitive information and exhibiting tact, diplomacy, and good judgment.
  • Flexibility and adaptability to work effectively with a diverse population and the challenges they face.
  • Willingness and flexibility to occasionally work outside regular business hours when needed to meet objectives.
  • Dedicated work ethic with a positive and client-centered approach to work.
