Program and Role Description:
This opportunity is based in The Career Foundation’s Finance department to provide accounting-based support to our A Women’s Work (AWW) program, operated in partnership with A Women’s Work Support Centre. The AWW program aims to address the pressing labour shortage in Ontario’s trades industry while empowering women to excel in the construction industry. Eligible female participants of the program receive foundational training and a paid job placement in addition to gender-focused training, mentorship, industry guidance, and other services to help them find and retain work in the construction industry.
As the Financial Support Specialist, you would be an important member of The Career Foundation’s Finance department, working to support our AWW program by managing the program’s budgets and performing other financial duties related to the program, such as handling financial claims and processing participant wraparound supports. Additionally, you would be responsible for achieving individual deadlines and KPIs relevant to your assigned responsibilities.

Full-time (37.5 hours per week) one-year contract with excellent potential to lead to permanent
Base Location and Schedule:
This position is based at our North York office, located at Lawrence Ave. W. and Allen Road. The successful candidate must be willing to work on-site from our North York location on a full-time basis. The position also currently operates under a hybrid schedule that permits one work-from-home day per week. The hybrid schedule is based on performance and operational needs and requires a private work-from-home space with reliable, high-speed internet. A company laptop and other equipment are provided.

Reporting to:
Financial Controller
Responsibilities include:
- Works in the Finance department to process and reconcile payments of participant and employer support claims for the A Women’s Work (AWW) program, including employer mentorship bonuses, participant living allowances, participant wraparound supports, and other claims and expenditures.
- Reviews and validates all expenses claimed through invoices by the program’s partner, ensuring proper accountability based on established guidelines and standards.
- Communicates effectively with fellow team members to investigate and resolve any missing data or signatures on documentation, ensuring all records are complete and comply with quality standards and requirements.
- Reconciles claims by recording amounts in established trackers, verifies the accuracy of client support forms, and reconciles payouts from SAGE documents after approval from management.
- Updates internal databases and trackers to reconcile payment schedules.
- Completes related paperwork required by the Finance department to process payments for employers, participants, partners, and other stakeholders of the AWW program.
- Assists with routine financial audits, ensuring the accuracy, consistency, and completeness of data in reports, databases, and files.
- Completes other finance-related administrative functions for the program as needed.
- Performs other relevant duties as assigned.
Qualifications/ Skills Required:
- Diploma or degree in accounting or a related field, or an equivalent combination of education and experience is required.
- A minimum of six months’ experience in bookkeeping and/or accounting assistant roles, including account reconciliation, and tracking and monitoring of expenses, is required.
- Experience using SAGE accounting software is considered an asset for this position.
- Excellent technical and computer skills, with a strong understanding of accounting processes.
- Advanced proficiency in Microsoft Office Suite, with an emphasis on Excel spreadsheets.
- Must be willing to work on-site from The Career Foundation’s North York office on a full-time basis.
- Knowledge of Canadian GAAP, GST, and HST legislation is considered an asset.
- Outstanding detail orientation, problem-solving, and analytical skills, with a proven ability to multitask and meet deadlines.
- Exceptional customer service skills and the ability to uphold the organization’s service standards, policies, and core values in all interactions with fellow staff members, partners, and other stakeholders.
- Excellent verbal and written English communication skills, with the ability to clearly communicate information verbally and in writing.
- Experience using online communication platforms and tools, including MS Teams, SharePoint and other Office 365 applications.
- Must possess the aptitude and willingness to learn and work with new online systems and technologies.
- Punctual, self-motivated, and self-directed.
- Proven ability to maintain sensitive information, exhibit tact, diplomacy, and good judgment, with high standards of professionalism, ethics, and confidentiality.
- A flexible team player with a positive approach to work and willingness to occasionally work outside of normal business hours, when needed, to achieve objectives and meet tight deadlines.
